The project
Creating an online Google Workspace certification in French

The need
We were already using Google Workspace collaborative tools and training our teams in these tools internally. But we had no visibility on the level of mastery, nor the possibility of detecting people who needed specific support.

However, the widespread use of teleworking during the health crisis has made these tools essential and revealed major differences in levels.
So we had to find a way of assessing and certifying everyone's skills to encourage collaboration in a hybrid organisation.

Why did you choose ORSYS?
We approached various organisations with this request. We were already working with ORSYS for face-to-face training, and ORSYS was the only one to agree to develop a tailor-made online certification in French.
The project was launched!

Project progress 
Needs analysis
We identified a certified office automation training course in the ORSYS catalogue. However, after discussing the project with them, we ultimately opted for a tailor-made certification that allowed us to:
  • to choose the applications we wanted to certify
  • adapt the questions to our uses
  • to offer this certification course in French (the official Google certifications are all in English).

Finally, the digital format chosen initially because of the health and safety context has proved to be the most appropriate, as it offers greater flexibility and autonomy for employees to complete the training at their own pace and in sequence by module.

Solution development
Our objective is to make this certification project - not compulsory, but highly recommended - a unique experience so that everyone has the same references.

The certification developed includes 100 questions which cover the applications most used by our teams (Google Sheets, Google Docs, Google Slide, Gmail, Google Calendar, Google Meet, Google Chat, Google drive, Google Forms) and a mock exam to assess yourself beforehand and practise.

These engaging questions were drafted in collaboration with our IT User Manager to ensure that they are relevant to our practices, and with Aurélie, the Digital Learning Manager at ORSYS.


Aurélie and her team then took charge of developing the test and mock exam on the platform and creating a supervision account so that we could set up access and monitor the project.

An ORSYS certificate of achievement at the end of the course marks the completion of the programme. To pass the exam, 80% of the answers must be correct. If the exam is failed, it can be retaken.

Employees in difficulty can take advantage of our in-house training courses to acquire the skills they lack.

Project deployment
The certification was rolled out in batches: 
  • We started with the professions identified as ‘sensitive’ in our GEPP (Job and Career Management) mapping and those less accustomed to working with these digital tools.
  • Then we moved on to so-called ‘stable’ jobs with a relatively digital culture (HR, sales, marketing, finance, etc.).
  • Finally, we included ‘emerging’ jobs, such as developers and UX designers, who are more digitally native, for whom this process was more of a formality. 

In all cases, employees were provided with training tools and a dedicated team was available to assist them in case of difficulties.

Results
The first certified employees are satisfied and have provided us with their initial feedback so that we can continue to improve the training experience.

This tailor-made project has met our expectations and enabled us to demonstrate our determination to embed digital technology in the company by involving all employees through specific monitoring and support.

We started using this certification at the beginning of 2021 and, thanks to feedback from the first participants, ORSYS was able to roll out an optimised V2 of the certification at the beginning of 2022 with around thirty updated questions and new visuals.
